What "calibrated" actually means when buying used

Traceability, ISO/IEC 17025 accreditation, as-found data and calibration intervals — what to ask for and when you genuinely need it.

Calibration is the single most misunderstood line item in a used equipment quote. The word covers everything from a five-minute functional check to an accredited procedure with recorded uncertainties, and the price difference between those two is substantial.

Traceable is not the same as accredited

A traceable calibration means the reference standards used can be traced through an unbroken chain to a national standard. Any competent laboratory can offer this.

An accredited calibration means an independent body has assessed the laboratory against ISO/IEC 17025 and confirmed its procedures, uncertainty budgets and staff competence for the specific measurements on the scope of accreditation.

Both are legitimate. Which you need is determined by your own quality system, your customers, or your regulator — not by the instrument.

As-found data is the part people forget

A calibration certificate that only reports as-left values tells you the instrument is in tolerance now. It says nothing about whether it was in tolerance during the period you were using it.

If you need to demonstrate that historical measurements were valid, you need as-found data, because that is what supports or breaks a reverse-traceability argument after a failure.

Ask for as-found and as-left explicitly. It is usually available at no extra cost, but only if requested before the calibration is performed.

Calibration intervals are yours to set

Manufacturers recommend intervals, typically annual, but the interval is properly a decision for the equipment owner based on observed drift, usage severity and the consequence of an out-of-tolerance result.

For a used instrument with no history, an annual interval is a reasonable starting point. Once you have two or three cycles of as-found data showing stability, extending the interval is defensible and reduces cost.

When you do not need it at all

Fault-finding, commissioning checks, go/no-go testing and general maintenance rarely require certified calibration. A functional verification against a known reference is sufficient and considerably cheaper.

Buying accredited calibration for an instrument that will only ever be used to find a blown fuse is money spent on paperwork.

The question to ask is whether any measurement this instrument makes will ever appear in a document that someone else relies on. If not, skip it.

Practical advice when buying

Establish the calibration status in writing before purchase: last calibration date, by whom, to what standard, and whether the certificate is available.

Where an instrument is sold without calibration, ask what it would cost to add it before despatch. Calibrating before shipping is almost always cheaper than shipping the instrument out again after delivery.

For high-value metrology instruments, a fresh accredited calibration also functions as an independent condition report — it is the most thorough functional test the instrument will receive.

Does used equipment come calibrated?

Not by default. Most used equipment is sold functionally tested, with calibration available as a priced option before despatch.

Is manufacturer calibration better than an independent lab?

Not inherently. What matters is the laboratory's accreditation scope and uncertainty budget for your measurement. Independent accredited labs are frequently faster and cheaper.

How long does calibration take?

Typically three to five business days for common instruments, longer for metrology-grade standards.
