How to get a fair price for surplus test equipment

What determines the value of used test and inspection equipment, how to prepare a list, and the mistakes that cost sellers money.

Most surplus test equipment is sold badly, not because the seller was cheated but because the information needed to price it accurately was never provided. A dealer quoting on incomplete information will quote defensively, and that discount comes out of your return.

What actually drives value

Model and configuration come first. Two instruments with the same model number can differ substantially in value depending on installed options, licences and bandwidth upgrades.

Calibration status is next. A recently calibrated instrument sells faster and higher, because the buyer can put it into service immediately.

Accessories follow. Probes, leads, modules, adapters and cases represent real value and are the thing most often left in a cupboard when equipment is collected.

Condition and completeness matter more than age. A ten-year-old complete kit outperforms a five-year-old instrument missing its probes.

Prepare the list properly

For each item, record the manufacturer, model number, serial number, installed options as reported by the instrument, calibration date if known, and what accessories are physically present.

Photograph the front panel, the rear panel and the open case contents. Three photographs per instrument answers most of the questions a dealer would otherwise have to price around.

Note faults honestly. A stated fault reduces the quote by a known amount. A discovered fault reduces the quote by an unknown amount plus the cost of the dispute, and it damages the relationship for the next sale.

Do not strip the accessories

The single most common value-destroying decision is separating instruments from their probes, modules and cases in the hope of selling them individually. In practice the loose accessories rarely sell, and the instrument is worth substantially less without them.

Similarly, keep matched sets together. A modular system sold as base and sensors together is worth considerably more than the sum of its parts sold separately.

Timing and volume

Equipment loses value slowly and then suddenly, usually when the manufacturer withdraws calibration support. If you know a model is approaching end of support, that is the moment to sell rather than to store.

Volume improves pricing. A dealer buying thirty instruments in one collection has one freight cost and one inspection cycle, and can afford to pay more per unit than for a single instrument shipped alone.

What a good offer looks like

A serious buyer will quote line by line, state what condition assumption each price is based on, and confirm who pays freight. A single lump sum for a mixed list with no breakdown makes it impossible for you to tell whether the valuable items were valued correctly.

Expect the offer to be conditional on inspection. That is normal. What is not normal is a large downward revision on arrival for issues that were visible in the photographs you supplied.
